Dear [Parent/Carer name],

Re: [Child's full name], [Year group/class]

I am writing to you as the Designated Safeguarding Lead at [School Name] regarding a matter concerning your child that we are required by law to share with the appropriate agencies.

On [date], a concern was brought to our attention which we were required to share with [Children's Social Care / the police / both] in accordance with our duties under the Children Act 1989 and 2004 and Keeping Children Safe in Education 2025.

Choose the appropriate version below and delete the others:

[Version A โ€” referral made, no investigation opened]

Following this referral, [agency] assessed the information provided and determined that no further action is required at this time. The school will continue to support [child's first name] and monitor their welfare as part of our normal safeguarding practice.

[Version B โ€” referral made, assessment/investigation ongoing]

[Agency] will be in contact with you directly regarding the next steps. The school is working cooperatively with them and will continue to support [child's first name] throughout this process. We ask that you engage openly with any assessment process.

[Version C โ€” referral made, child subject to a Child Protection Plan]

Following this referral and a subsequent child protection conference, [child's first name] has been made the subject of a Child Protection Plan. You will be invited to attend a Child Protection Conference, where you will have the opportunity to contribute to the plan and hear from all agencies involved. A social worker, [name if known], will contact you to explain the next steps. The school remains committed to working with you and all agencies to ensure [child's first name] is safe and well supported.

We understand this may be a difficult and worrying time for your family. Please be assured that our primary concern is the safety and well-being of [child's first name], and we will continue to support them within school. Staff are available to speak with you if you have any concerns about [his/her/their] progress or welfare at school.

If you would like to speak with me directly, please contact the school office to arrange an appointment or telephone [direct contact number].

Yours sincerely,
